How to make a shift work calendar

By Tinyfair · Updated · 5 min read

Short answer

Write your rotation as a short code with one letter per day, such as D for day shift, N for night and X for off. Count the cycle length, pick a date when you know exactly where you are in it, and repeat the code from that date forward. Add start and end times for each shift, then fix single days for swaps and leave.

Step by step

You need:

  • Your rotation pattern and one date you know you worked
  • Your shift start and end times
  • A paper calendar, a spreadsheet or a shift calendar app
  1. Write the pattern as a code. Use one letter per day: D for day, E for evening or late, N for night, X for off. A 4 on 4 off pattern of days is DDDDXXXX; two days, two nights and four off is DDNNXXXX.
  2. Count the cycle length. The cycle length is the number of letters before the pattern repeats. DDNNXXXX is 8 days. Fire department 24/48 is one 24-hour shift then two days off, a 3-day cycle.
  3. Pick an anchor date. Choose one date when you know exactly which day of the cycle you were on, such as the first day shift of your current block. Every other day is counted from this date.
  4. Fill the calendar forward. From the anchor date, write the code day by day and start again at the first letter when it runs out. In a spreadsheet, the cycle day is the number of days since the anchor date, divided by the cycle length, and the remainder tells you which letter to use.
  5. Add shift times and alarms. Give each letter its start and end time, for example N is 19:00 to 07:00. Set a reminder before each type of shift so you are not caught out after days off.
  6. Fix the exceptions. Change single days for swapped shifts, vacation, sick days and training. Keep the rotation itself unchanged, so the days after an exception still fall in the right place.

Common rotations written as codes

Rotation names vary between workplaces, so check the code against your own roster before you rely on it. These are frequent versions:

  • 4 on 4 off: DDDDXXXX (8 days), or DDNNXXXX when the four working days are two days then two nights
  • Panama 2-2-3: DDXXDDDXXDDXXX (14 days), often on 12-hour shifts, so you work every other weekend
  • DuPont: a 28-day cycle of 12-hour shifts that mixes 4 nights, 3 days, 3 nights and 4 days with breaks in between, including one 7-day break
  • 24/48 fire schedule: one 24-hour shift, then 48 hours off (3 days); 48/96 is two 24-hour shifts, then four days off (6 days)
  • Three-shift 2-2-2-4: two early, two late, two night, then four off (10 days)

Night shifts that run past midnight

A night shift from 19:00 to 07:00 belongs to two calendar dates. The usual rule is to file it under the day it starts. Mark the next morning as a finish day, so you do not book appointments when you will be asleep.

This also matters for counting days off. After a run of nights ending on a Thursday morning, Thursday is not really a day off, even if your code shows X.

Cycles that are not a multiple of 7

A 7, 14 or 28-day rotation falls on the same weekdays every cycle. An 8-day or 10-day rotation drifts, so your days off move one or more weekdays later every cycle. That is fine, but it means you cannot plan by weekday; always count from the anchor date.

If your calendar ever shows a shift on the wrong day, the anchor date is usually the problem. Reset it to a recent shift you are sure of.

Paper, spreadsheet or app?

Paper works for a month or two, but you have to rewrite it every time. A spreadsheet can fill a whole year from one formula and is easy to print. A phone app can do the counting, alarms and swaps for you and is always with you.

Whichever you choose, keep the rotation and the exceptions separate. Then a change to one day never shifts the rest of your year.

Checking your calendar against the roster

Before you rely on a new calendar, compare the next two full cycles with your official roster or with a colleague on the same crew. If one day is off by one, the anchor date is wrong; if the error grows over time, the cycle length is wrong.

Check again whenever your employer changes the rotation, moves you to another crew, or the clocks change for daylight saving time, which can make one night shift an hour longer or shorter.

Questions people ask

How do I make a rotating shift schedule in Excel?

Put your pattern code in one row, your anchor date in a cell, and for each date take the days since the anchor, find the remainder after dividing by the cycle length, and look up that position in the pattern.

What is a 4 on 4 off shift pattern?

Four working days followed by four days off, an 8-day cycle. The working days may all be day shifts, or split into two days and two nights.

What is the Panama 2-2-3 schedule?

A 14-day rotation of 2 on, 2 off, 3 on, then 2 off, 2 on, 3 off, usually on 12-hour shifts, so you work every other weekend.

Which date should a night shift go under?

Normally under the date it starts. Mark the next day as a finish day so you remember you will be sleeping that morning.

Why do my days off move to different weekdays?

Your cycle length is not a multiple of 7. An 8-day cycle, for example, moves your days off one weekday later every cycle.
